Summary:

The U.S. Bi-Mission in Jakarta, Indonesia is seeking eligible and qualified applicants for position of General Services Assistant.

The work schedule for this position is:


Full Time (40 hours per week)

BASIC FUNCTION OF POSITION:


The incumbent performs wide variety of administrative support services to the Facility Management section. S/He is responsible for planning and executing administrative functions that include personnel, budget, procurement and supply, quality assurance, database management, and sub-cashier. Supervised by the Chief Engineer and Facility Manager, s/he serves as staff office manager and directly supervises one Janitor Supervisor and one Storage & Tool Clerk, indirectly supervises 17 Janitor team members. The incumbent functions as the primary point of contact for customers under the ICASS service agreements for maintenance operations in the New Embassy Compound (NEC). S/he oversees facilities' contracts (Building Maintenance Expense (BME) services contracts, Repair and Improvement (R&I) contracts, and Maintenance and Repair (M&R) contracts) happen in the NEC to ensure contractors meet the requirements including invoices and payment processes. S/he performs customer service duties such as setting up appointments, receiving and tracking complaints, and following up on with customers on the status of their work repair requests refer to the Global Maintenance Management System (GMMS).


Qualifications and Evaluations Requirements:

EXPERIENCE: Minimum of four (4) years' experience in administrative, office manager, secretary, customer service, financial management, or supply and warehousing service is required.

JOB KNOWLEDGE: The incumbent shall possess job knowledge to include general computer literacy, basic mathematics, and office management and administrative skills. Must be proficient in the use of Microsoft Office software (Outlook, Word, Excel, Power Point etc.) and other computer programs, and customer service oriented. Must have the knowledge of human resources and financial industry standards, facility maintenance management, supply and warehousing procedures, and financial knowledge.

Education Requirements:

Completion of 3 years Diploma or equivalent in Management/Accounting/Business/Foreign Language/Secretary from an accredited university program is required.

Evaluations:

LANGUAGE: Level III (Good Working Knowledge) Speaking/Reading/Writing of English language is required. Level IV (Fluent) Speaking/Reading/Writing of Indonesian language is required. (This may be tested).

SKILLS AND ABILITIES:


The incumbent must be a visionary, forward thinker, and fast learner so he/she can anticipate the needs of the office and those individuals he/she supports. Must have excellent interpersonal skills in order to deal with a myriad of personalities including frustrated customers; able to handle a large workload that encompasses multiple tasks. Must be organized, methodical, decisive, and have a good managerial skill. Must be computer literate, able to navigate through the Microsoft Office Suite software including MS Word, Excel, Outlook, and Power Point; able to draft reports and create spreadsheets, and able to write e-mails and research information on the Internet.

Qualifications:

All applicants under consideration will be required to pass medical and security certifications and complete a mandatory probationary period for LE Staff.

** This level of preference applies to all Foreign Service employees on LWOP and CS in LWOP status with re-employment or reinstatement rights back to their agency or bureau.

ADDITIONAL SELECTION CRITERIA:

1. The Mission may consider any of the following when determining successful candidacy: nepotism, conflicts of interest, budget, and residency status.

2. Current employees of the Mission who have not successfully completed their initial probationary periods are not eligible to apply. Current employees with an Overall Summary Rating of Needs Improvement or Unsatisfactory or MBC score of 100 points or less, on their most recent Employee Performance Report (EPR) are not eligible to apply.

3. Current employees of the Mission hired on a Family Member Appointment (FMA) or a Personal Service Agreement (PSA) are not eligible to apply within the first 90 calendar days of their employment. This does not apply for employees on a PSA (Temp), or those are hired on a When Actually Employed (WAE) or intermittent work schedule.

4. Candidates who are EFMs, USEFMs, AEFMs, or MOHs must have at least one year remaining on their sponsor’s tour of duty to be considered eligible to apply for this position.
