What this job involves :

Being the top aide of the IFM local team

Your tasks involve supporting the team in daily administrative activities such as handling meeting rooms, car stationaries, name cards, flights, and hotel bookings, among others.

You’ll also look after the team’s CV database. As well, be ready to prepare monthly revenue bookings, sending out of payment application to clients, and collecting back confirmation.

You’ll also collect and check expense claim reports every month, and make sure that all invoices are on the same page as the company’s finance policy.

Preparing a revenue fee forecast sheet, which you need to update as new projects are signed or new revenues are booked, will also be your forte.

Helping keep the business run smoothly

You’ll play an essential role in improving operations and reducing any bottlenecks. You’ll be in-charge of updating and preparing the OVAL audit every month.

You’ll gather all project risk register sheets from project managers and record the updated ones in the system every month.

You’ll also lend a hand in operations-related trainings. Likewise, you will be responsible for keeping H&S reports in check.

Complementing the abilities of other functions

In this role, you’ll be an all-rounder. You’ll often team up with the finance and IT teams to keep department asset records updated.

You’ll help in HR-related activities, such as staff onboarding, leave balance management, and organising team buildings and lunches or dinners.

You’ll work with the marketing department for events, and the administrative department to ensure clean office environments.

Outsourcing major documents for project managers will also be on you.

Experienced

You have a degree in English or engineering. You should also have worked as an assistant or secretary for at least 2-3 years.

A savvy admin professional

You should be familiar with Microsoft Office tools and have superb file or document management skills. You should also be passionate with supporting the team for everything admin-

related. Are you also a multitasking and time management pro who has a positive, can-do spirit? If you said yes, then you are the person we’re looking for!

A great communicator and active listener

As a team assistant, you should have a good command of English language both spoken and written. You will be the first point of contact of the team leader and team members, so you should be able to deal with them with a polite and easy-

going attitude. You should also know how to handle changes and problems that come unexpectedly.
